Position Overview

BizFirst is supporting our client in search of a full-time Administrative Assistant (EA) III to directly support the Joint Product Manager, Deputy, Chief of Staff, and senior Directors within the JPEO-CBRND program. This position plays a vital role in ensuring day-to-day administrative operations run smoothly for senior leadership. The ideal candidate is organized, self-motivated, and capable of providing high-level executive support across a range of administrative and program functions including scheduling, meeting coordination, document preparation, and interagency communication. Our client is a specialized management consulting firm that engages experienced professionals and consultants to support the federal government with strategic project execution, financial process optimization, advanced IT solutions, and Enterprise Resource Planning (ERP) system implementation. Through innovative transformations, they develop and implement strategies to optimize operations for military departments and agencies across the U.S. Federal Government.

What You will Do:

As an Administrative Assistant (EA) III, you will be responsible for managing calendars, coordinating classified and unclassified meetings, preparing official documentation, and providing executive-level support to leadership. You will use your communication and organizational skills to help execute briefings, travel arrangements, and internal task tracking, while collaborating with both internal and external stakeholders. You will also ensure proper document formatting, calendar management, and logistics support for leadership engagements.

 

Key Responsibilities

  • Provide direct support to the Joint Product Manager, Deputy, Chief of Staff, and senior Directors in daily administrative operations.
  • Draft memorandums, information papers, and program documentation; review for formatting and grammar.
  • Support leadership calendar and meeting management, including scheduling, coordination, and deconfliction with external agencies.
  • Organize and support classified and unclassified meetings, including VTC setup, audiovisual preparation, and logistics.
  • Maintain internal databases, taskers, distribution lists, and organization charts.
  • Coordinate with stakeholders across internal teams and external agencies for event planning, briefings, and meeting prep.
  • Manage the Defense Travel System (DTS): create and monitor travel orders, itineraries, and voucher support for leadership travel.
  • Upload documentation to SharePoint and manage filing systems for ease of access and compliance.
  • Monitor and track personnel training requirements, leave schedules, and monthly strength reports.
  • Attend meetings in person, via MS Teams, or telecon based on operational needs.

 

Required Qualifications

  • Experience: Minimum of 3 years of experience supporting senior-level executives in an administrative or executive assistant role.
  • Technical Skills: Minimum of 3 years of experience using Microsoft Office (Outlook, PowerPoint, Excel, Word); familiarity with SharePoint preferred.
  • Communication: Strong verbal and written communication skills with ability to prepare clear documentation and briefings.
  • Travel Systems: Experience using Defense Travel System (DTS) to manage government travel processes.
  • Meeting Support: Experience managing and supporting classified and unclassified meetings, including VTC and room setup.
  • Organization: Ability to maintain schedules, coordinate logistics, and track personnel data across dynamic priorities.
  • Clearance: Active DoD Secret Clearance required.
  • Preferred: Completion of DAU Acquisitions 1010 certification.
