The Advancement Community Engagement Manager is a member of the Office of Advancement and is responsible for helping execute programs designed to cultivate meaningful volunteer engagement in the Pace community with the goal of advancing the priorities and mission of the school. The position serves as a liaison between parent organizations (Arts Alliance, Booster Club and assigned Parents Club committees) and Pace administrative departments to ensure smooth communication and workflow.
Along with the Senior Manager of Events and Community Engagement, the position also acts as an advocate and troubleshooter for Pace volunteers as needed. The position of Community Engagement Manager reports to the Associate Director of Advancement, supports the Senior Manager of Events and Community Engagement and is integral to the success of Pace Academy's Advancement team.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- In collaboration with parent organization leadership, assists in setting annual priorities for the Booster Club, Arts Alliance and other assigned Parents Club committees in support of the overall strategic plan and direction of Pace, and helps in the successful implementation of those priorities
- Fosters strong and productive relationships between the Lower, Middle and Upper School divisions and administrative leadership to best achieve the agreed upon goals of the Booster Club, Arts Alliance and other assigned Parents Club committees
- Supports the Booster Club and Arts Alliance leadership and assists with the Parents Club leadership in identification of aligned, supportive and collaborative volunteers, and ensures the appropriate approval processes with key administrative team leaders prior to appointment
- Understands the roles, goals and processes to ensure continuity and effective onboarding of new volunteer leadership year-to-year for the Booster Club, Arts Alliance and other assigned Parents Club committees
- Works with the Advancement and Communications teams to determine effective annual communications strategy for the Booster Club, Arts Alliance and other assigned Parents Club committees that align with overall school communications
- Attends parent volunteer committee meetings as the Advancement representative for Booster Club, Arts Alliance and other assigned Parents Club committees. Partners with school administration and volunteer leadership in scheduling meetings and managing associated needs; facilitates and oversees facilities and check requests; secures vendor contracts; and provides guidance and assistance in navigating school systems and processes
- Works on the annual Fall Fair and other assigned parent organization events as an advisor and provides logistical support. Attends committee meetings as needed and helps to negotiate contracts, coordinates logistics, communications, etc. Works with the Office of Advancement and parent leaders on all fundraising activities of the Booster Club, Arts Alliance and other assigned Parents Club committees, specifically sponsorships for the Fall Fair, which includes managing the event sponsorship process (setting sponsorship levels, developing sponsorship materials, coordinating sponsorship requests, maintaining records and coordinating sponsorship collections)
- Provides database access to fundraising software (currently Greater Giving) and training as needed for specific volunteers; provides reports from the database as requested by volunteers for the Booster Club, Arts Alliance and other assigned Parents Club committees
- Coordinates various reporting needs between Pace administrative departments and the Booster Club, Arts Alliance and other assigned Parents Club committees
- Works with the Associate Director of Advancement and Senior Manager of Events and Community Engagement to develop metrics for parent and family engagement with the parent organizations and helps inform effective strategic future direction of the school
- Provides support for several functions of the Advancement office which include fundraising, advancement services, stewardship and special events as needed
GENERAL DUTIES
- Serves as an active member of the Advancement team and supports additional fundraising and stewardship activities as needed
- Works collaboratively with the Office of Communications to develop creative design and marketing outreach
- Works closely with the Office of Communications and Advancement Services Manager to establish and maintain information tracking regarding volunteers and fundraising activities
- Knowledgeable and able to articulate advances and trends in volunteer best practices in independent schools both regionally and nationally and regularly participates in a variety of professional development opportunities
- Other duties as assigned by the Associate Director of Advancement and Director of Advancement
QUALIFICATIONS
- Bachelor's degree is required, Master's degree preferred
- Minimum 2-5 years fundraising, relationship-oriented sales or independent school experience, with a proven track record in the education, non-profit or business industries.
- Understand high-functioning fundraising and development, as well as donor engagement and high-level stewardship
- Proficient in Google workspace, database and social media management
- Strong customer service, organizational, and written and oral communication skills
- Efficiency in managing multiple projects at once
- Work with a sense of urgency
- Ability to set goals, institute timelines and meet deadlines
- High-level fundraising database experience, including ability to build reports; create and run queries and dashboards; develop analytics on various strategies; research trends; and improve ways of operation; strong knowledge of spreadsheets and word processing
- Experience with planning and executing large-scale events working with multiple vendors
- Expertise in managing volunteers effectively and fairly
- Ability to professionally interact with all members of the school community, excellent interpersonal skills
- Ability to work collaboratively in a team environment
