Job Description

Position Summary

The Business Administrator receives exposure to and supports many facets of district operations. Reporting to the location District Manager and with dotted line responsibility to corporate functions, the Business Administrator plays a major role in the success of district operations through customer account management, customer service leadership, accounting and purchasing activity and additional operations administrative support. 

Essential Responsibilities, includes but are not limited to

  • Offer leadership and direction to customer service staff in a manner that encourages productivity and motivates.  
  • Manage customer accounts and inquiries from initiation to delivery, including tracking and reporting missing/damaged equipment and invoicing.
  • Process quotes, orders and invoices accurately and with attention to detail – proofreading and ensuring accuracy.
  • Maintain petty cash, credit card transactions and ensure proper storefront management.
  • Complete monthly billing cycle and conduct collections as necessary. 
  • Ensure data integrity by maintaining an accurate account of client information and interactions within data management system in a timely manner.
  • Support inventory control and purchasing activity for internal and external purchase requests.
  • Provide administrative support as needed to sales, warehouse and upper management.
  • Support employee timekeeping and reporting.
  • Ensure positive interaction with customers at all times via verbal, face to face or electronic communications.
  • Establish and maintain courteous, professional and effective communications with suppliers, partners, customers and co-workers.
  • Develop and maintain a functional knowledge of Company products and services.
  • Adhere to company and department policies and procedures.
  • Perform all other duties as assigned by Supervisor and/or senior management.
  • Additional duties as assigned.

Qualifications

  • Minimum high school diploma. Associates degree or higher preferred.
  • Five plus years administrative and office management experience required.
  • Proficiency in Microsoft Suite (Office, Excel, Word, PowerPoint, Access)
  • Three plus years customer service experience required. Prior supervisory experience preferred.
  • Previous accounting experience required.
  • Strong analytical skills and attention to detail.
  • Effective written and verbal communication across staff and management levels.

  • While performing the duties of this job, the employee is required to be in a stationary position over 90% of the time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.  The person will constantly operate a computer, speak over the phone, utilize a keyboard and other office productivity machinery, such as a calculator, copy machine, and computer printer. Must be able to converse verbally to exchange accurate information. Must be able to visually scan documents in detail to detect and identify needs.  The employee must occasionally lift and/or move up to 10 pounds.
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This is a full-time position, typical work hours from 8am to 5pm. Additional hours may be needed.
