Location: Corning, New York

John G. Ullman & Associates, Inc. is seeking a Corporate Accounting Associate 1 to join our Firm. This is an essential position in our company. Working from the Corning NY Office, the Corporate Accounting Associate is a position that will utilize their trained knowledge in the accounting field and maintain corporate accounting records and update all appropriate information systems.

The Role:

The Corporate Accounting Associate 1 will:

Maintain corporate accounting records and update all appropriate information systems.

  • Responsible for processing Accounts Payable, which includes maintaining the purchase order file, assembling accounts payable for review and approval, processing and printing checks, tracking sales tax, maintaining account information and utilities information.
  • Responsible for assisting with Accounts Receivable which includes calculations of investment management fees, posting deposits and withdrawals, and client correspondences. Responsibilities may also include assisting with the fixed asset ledger, contributing to the development of department processes and procedures to ensure the information is current, and that department’s processes and procedures involving client information is handled at the highest level of security and that confidentiality is maintained.
  • As time permits, the Corporate Accounting Associate 1 may be asked to assist and support the other functional areas of the Corporate Accounting Team. Opportunities for career advancement are available within the Corporate Accounting Department.

Job Duties:


Accounts Payable

Maintain open Purchase Order file.

  • Assemble accounts payable information for final review, signature, approval and payment Review the accounts payable ledger, process and print checks, and have the checks signed by an authorized corporate officer.
  • Send invoices and payments to the appropriate service provider in a timely manner.
  • Track sales tax.
  • Track branch offices expenses.
  • Maintain accounts payable files.
  • Maintain W-9 Forms for current vendors.
    Maintain Utilities tracking spreadsheet.
  • Update all appropriate information systems.



Accounts Receivable – Management Fees

Post deposits and withdrawals to client billing sheets

  • Calculate annual investment management fees.
  • Generate client correspondence related to annual billing.
  • Assist with follow up processes for new clients to include copying information/contract and typing up billing sheets.
  • Assist with the coordination of the review of the monthly investment management fee billing for clients by Advisor or Advisor Team.
  • Assist with updating all appropriate information systems.
  • Assist in maintaining fixed asset ledger.
    Maintain current job documentation.
  • Contribute to the development of department processes and procedures to ensure the information is current, and that department’s processes and procedures involving client information is handled at the highest level of security and that confidentiality is maintained.
  • Contribute to the development of department processes and procedures to ensure that all processes and procedures are in compliance with the firm’s auditing requirements.
  • Take proactive action to address relative situations that involve client information, security, confidentiality, and/or compliance with auditing requirements.
  • Assist in maintaining the postage in the Postage Meter.
  • Assist with Special Projects, as needed.
  • Other miscellaneous tasks, as needed.

Qualifications:

AS degree in Accounting or related field, or the equivalent in training and experience.

  • 1-3 years of experience in accounting.
  • Strong organizational skills.
  • Strong time management skills and demonstrated ability to meet strict deadlines .
  • Must be able to pay close attention to detail.
  • Demonstrated ability to work with personal and sensitive information, in a secured information environment where you were required to maintain a high-level of confidentiality.
  • Must have strong math skills and have the ability to complete complex calculations manually using multiple information sources.
  • Must have technical skills and demonstrated the ability to use desktop applications (Microsoft Office Suite – Word, Excel and Outlook).

Preferred Qualifications:

Experience working in a complex billing and invoicing environment.

  • Experience working in an environment that requires the use of financial/accounting systems and manual accounting procedures.
  • Analytical skills and the ability to audit information and identify the need for corrective action to be taken.
  • Demonstrated ability to establish and maintain effective working relationships with management and account executives.
  • Experience working with clients and client file information.
  • Demonstrated ability to learn quickly and apply knowledge on a consistent manner.
