Job Description

Gray Hawk Land Solutions is currently hiring for the position of a Document Specialist to work in Houston, Texas in office role 5 days a week. The individual we are looking for must have a complete understanding of all phases of a right-of-way project, be a self-starter, and able to perform the below tasks with little or no supervision.

Responsibilities & Qualifications:

  • Must be highly organized and have good time management skills, must have a complete understanding of all phases of a right-of-way project from line list development to construction, and is expected to maintain accurate and current information on the overall status of the project
  • Must have working knowledge and experience with all necessary right-of-way documents such as, but not limited to, land acquisition easements including courthouse recording requirements, temporary workspace documents, damages and compensation documents, excel spreadsheet tracking sheets etc.
  • Maintain hard files, including easements, lease documents, real estate deeds, and various other documents relating to ownership and rights
  • Prepare files, setting up agreements/contracts/correspondent information in the land database
  • Ensuring all the documents are in good standing and checking the Correct format.
  • Checking Court Documents for changes in potential ownership.
  • Keeping track of incoming Correspondence Via- Email and Fax.
  • Responsible for document recording
  • Scanning and coping checks to ensure company compliance.
  • Fluent in various databases (Quorum Land System, Peloton (Landview).
  • Plan land team meetings and sub-team meetings.
  • Run necessary land reports to identify expiring agreements/ renewals/future payments.
  • Knowledge with making land payments.
  • Manage all aspects of land records.
  • Build strong relationship with land team and other internal stakeholders.
  • Provide support to land team, immediate supervisor, and land manager.
  • Excellent written and verbal communication skills
  • Experience providing administrative support to a wide variety of users
  • Represents self with professionalism. Can relate to people from various backgrounds and work well with others
  • Able to work well in a team environment or an individual role

Education/Experience:

Minimum of Five (5) years of preparing and processing ROW acquisition easement documents on ROW projects.

Pay Range:

This position offers a 5 day per week pay rate and full health, vision & dental benefits.
