ABOUT THE ROLE:

We are looking for a detail-oriented and flexible Events Coordinator to organize school events & meetings that have a positive impact on our SAAS community. 

The primary responsibilities of the Event & Meeting Coordinator are to ensure that events and meetings are successfully planned, implemented, and coordinated in collaboration with campus departments. The Event & Meeting Coordinator will report to and support the Director of Events on medium to large-scale events while also independently managing all internal/external meetings and a portfolio of selected events. Each event/meeting in the portfolio will be planned and executed by the Event & Meeting Coordinator from start to finish.

The successful candidate will be able to demonstrate a proven track record of organization, flexibility, collaboration, and reliability in the workplace, as well as experience planning and producing events. Our ideal candidate is creative, a quick study, a strong communicator, a motivated self-starter, and a team player. 

This position is a salaried exempt position with a salary range of $75,000 - $80,000 depending on relative experience, and is based on working a twelve-month schedule.

Job RESPONSIBILITIES:

  • Collaborate with campus partners (facilities, tech, catering, operations) to ensure all event logistics are well-coordinated and executed.
  • Attend events to oversee execution and support a seamless guest experience.
  • Maintain and update the master event calendar with accurate and timely information.
  • Manage external vendors to secure event spaces and arrange on-campus equipment rentals.
  • Partner with the Director of Events on event staffing and on-site support.
  • Assist in managing event Run of Show documents and timelines.
  • Provide administrative support for event planning and execution, along with other duties as assigned.
Requirements for the Position: 

The successful candidate will be able to demonstrate a proven track record of integrity, flexibility, collaboration, and transparency in the workplace.

  • Bachelor’s degree and at least two years of event experience.  
  • Excellent communication skills, including writing, proofreading, and speaking.
  • Strong organizational and planning skills with accuracy and attention to detail.
  • Able to coordinate across functions and collaborate to reach shared goals. 
  • Ability to manage multiple projects and work assignments simultaneously.  
  • Strong interpersonal skills with the ability to work both independently and within a team.
  • Proficient in managing spreadsheets and organizing files in Google Drive.
  • Ability to work nights and weekends for all internal events and selected external events.
PHYSICAL REQUIREMENTS:
  • Able to lift and carry up to 30 pounds. 
  • Stand/walk for extended periods of time.
