Overview:
We are seeking a highly organized and energetic Event Assistant to support the planning and execution of various events. The ideal candidate will assist the Events team in managing logistics, ensuring smooth operations, and delivering exceptional experiences for attendees. This role is perfect for someone who thrives in a fast-paced environment, enjoys working collaboratively, and has a keen eye for detail.

Key Responsibilities:

  1. Event Coordination:

    • Assist in the planning and execution of events, including meetings, conferences, trade shows, and social gatherings.
    • Coordinate event logistics such as venue setup, catering, transportation, and audiovisual equipment.
  2. Administrative Support:

    • Maintain event calendars and schedules.
    • Manage event-related communications with vendors, participants, and internal teams.
    • Prepare and distribute event materials, such as invitations, programs, and signage.
  3. On-Site Support:

    • Provide on-site assistance during events, ensuring smooth operations.
    • Address and resolve any issues or emergencies promptly.
    • Welcome and assist attendees, speakers, and VIPs as needed.
  4. Budget Management:

    • Track expenses and maintain detailed records to ensure events stay within budget.
    • Obtain quotes and negotiate with vendors for cost-effective solutions.
  5. Post-Event Activities:

    • Collect feedback from attendees and stakeholders to evaluate event success.
    • Assist in creating post-event reports and summaries.

Qualifications and Skills:

  • High school diploma or equivalent; a degree in Event Management, Marketing, or a related field is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and event management software (e.g., Cvent, Eventbrite).
  • Ability to work under pressure and meet tight deadlines.
