Job Description

We are seeking a highly organized, proactive, and resourceful Executive Assistant and Office Manager to support our executive team. This role is pivotal in ensuring the smooth operation of day-to-day activities, providing executive support, and managing office operations. The ideal candidate is a self-starter with exceptional communication and organizational skills, capable of juggling multiple priorities with professionalism and discretion. This position will report directly to our co-founder. 

Responsibilities

Executive Support

  • Manage and maintain calendars for Boomtown executive team, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and book travel for the executive team, including flights, accommodations, transportation, and itineraries.
  • Act as the primary point of contact for internal and external stakeholders on all matters related to the founders as directed.
  • Draft, review, and organize emails, correspondence, reports, and presentations.
  • Conduct research and prepare briefs to support the founders’ decision-making and strategic initiatives.
  • Coordinate logistics for meetings, including agenda preparation, note-taking, and follow-ups.
  • Act as Liaison to the Client Success and Business Development teams by offering support during the execution of client onboarding and offboarding tasks.
  • Provide other daily administrative support as necessary to the Operations Manager and team, including scheduling group meetings, maintaining calendars, doing research, creating reports, project support and budget tracking.

Event Planning and Coordination

  • Assist in planning and organizing company events, including team-building activities, off-site meetings, and celebrations.
  • Manage logistics for events, both locally and in other states, including venue selection, vendor coordination, and travel arrangements.
  • Ensure all event details are executed seamlessly, staying within budget and meeting high-quality standards.

Office Management

  • Oversee daily office operations to ensure a productive and efficient work environment.
  • Manage office supplies, equipment, and vendor relationships to maintain a well-functioning workspace.
  • Plan and coordinate company events, team meetings, and celebrations.
  • Ensure compliance with office safety and maintenance protocols.
  • Organize and Maintain digital back office platforms such as 1Password and Google Drive for team; and other applications as it pertains to Operations and Internal Team needs.
  • Asset management of all company property, e.g. computer hardware; including keeping clear up-to-date records, purchasing, distribution, and budget tracking.
  • Manage communications including general Boomtown email inboxes, incoming physical and digital mail and deliveries, and manage outgoing mail.

Requirements

  1. 1-2 years of work experience in an administrative/office management role.
  2. Exceptional attention to detail.
  3. Strong organizational and time management skills, and ability to prioritize.
  4. Considers themselves a self-starter and driven.
  5. Excellent communication and interpersonal skills.
  6. Strong problem-solving skills and analytical abilities.
  7. Mastery of Google’s G Suite of products including Gmail, Docs, and Drive.
  8. Proficiency with the MAC operating system and MAC software.
  9. Proficiency with virtual meeting and collaboration software and tools.
