Position: Project Coordinator
Location: Hybrid Fremont, CA
Duration: 6+ Months

Overview:
We are seeking a proactive and detail-oriented Project Coordinator to support the execution of a newly approved ERP system replacement project . This position plays a critical role in coordinating between internal and external stakeholders, ensuring smooth communication, accurate tracking of project progress, and seamless alignment with budgetary and scheduling goals. The Project Coordinator will report directly to the internal ERP Project Manager and collaborate closely with vendor project leads and the internal PMO Director.

Key Responsibilities:

• Project Tracking & Organization:
  Maintain and update project dashboards (currently in Smartsheet ) to reflect real-time project health, progress, and dependencies. Ensure all project artifacts, deliverables, and documentation are consistently organized and easily accessible.
• Task Status Monitoring:
  Work closely with internal task owners and external vendor counterparts to keep task statuses up to date. Follow up on pending action items and assist in identifying roadblocks or delays.
• Meeting Support & Documentation:
  Attend project meetings and take comprehensive minutes. Ensure that decisions, risks, issues, and action items are captured, documented, and integrated into project tracking tools for follow-up and visibility.
• Communication & Change Management Support:
  Partner with internal communications teams and change management resources to develop internal messaging, stakeholder updates, training content, and rollout communications for impacted departments and end-users.
• Scheduling & Coordination:
  Manage the scheduling of key project meetings, workshops, and stakeholder check-ins. Coordinate availability, send calendar invites, and ensure meeting logistics are handled smoothly.
• Budget Tracking Assistance:
  Monitor and capture any changes or updates that could impact the project budget. Ensure such items are accurately reflected in budget trackers and reported to project leadership.
• General Project Support:
  Provide broad support to the project team, stepping in where needed to maintain momentum, resolve operational challenges, and facilitate timely delivery of project goals.
