Farrell Flynne is a premier FFE (Furniture, Fixtures, and Equipment) procurement company specializing in collaborating with real estate developers on ground-up and renovation projects across various asset classes, including multifamily & condo, hospitality, student housing, and assisted & senior living. We are a small team of three, and while we value collaboration, we also need someone who can handle responsibilities independently, especially in the absence of our current bookkeeper.
We are looking for a Junior Project Manager / Project Assistant to support the team in administrative and project coordination tasks. This role will begin with data entry, purchase order management, and scheduling but offers the opportunity to grow into a full-fledged project management role. Assist in project coordination, tracking timelines, and ensuring deliverables are met.
Manage and maintain purchase orders, ensuring accuracy and timely processing.
Communicate with vendors to request quotes and confirm product specifications.
Support budgeting and cost analysis by compiling vendor quotes in Excel.
Monitor production schedules and ensure timely delivery of materials.
Assist in reviewing accounting reports, reconciling purchase orders, and tracking expenses.
Organize and respond to emails, ensuring timely communication with vendors and clients.
Maintain project documentation, reports, and workflow tracking tools.
Gradually take on more project responsibilities, including managing smaller projects independently over time.
Qualifications:
Excellent communication skills in English , both written and verbal.
Strong organizational and project coordination skills.
High attention to detail — accuracy is critical in this role.
Strong analytical skills and ability to reconcile financial data.
Ability to handle multiple projects simultaneously at different stages.
Proficiency in Excel (budgeting, data entry, and analysis).
Familiarity with Outlook and general project management tools.
Experience in purchasing, manufacturing, or logistics is a plus but not required.
Prior project management experience is a plus, but we are open to candidates with strong problem-solving and organizational skills who are looking to enter the field.
Working hours:
Candidates are expected to be available during standard business hours, ideally from 9 AM to 5 PM New York time (EST, you may check the time difference via the link ) to facilitate collaboration with the team and external partners.
What we offer:
Full-time job (8 working hours per day), Monday-Friday.
Remote work. This position is remote, allowing you to manage your time effectively while ensuring that all tasks and responsibilities are completed in a timely manner.
