Job Overview:

Under direction, plans, organizes, coordinates, and directs day-to-day activities related to the surgical and clinical activities within the Department of Surgery. The secondary purpose of the Surgical scheduler position is to provide administrative assistance to the providers. Surgical schedulers coordinate administrative tasks, scheduling and other patient care issues as directed by the physicians, APP, Practice Manager, and Director of Administration.

Qualifications:

Required:

  • High School Diploma
  • At least 1 year of surgical scheduling experience required
  • Demonstrate professionalism and strong customer service skills required

Scheduling Requirements:

  • Shift- 8:30am- 4:30pm
  • Monday-Friday
  • Full Time/Day

Essential Functions:

  • Understand the process for precertification/preauthorization from insurance companies for imaging and procedures
  • Understand basic principles of insurance coverage
  • Obtain insurance information, demographic information and authorizations as needed
  • Coordinate surgeries for the Department of Surgery. Communicate with Physicians per their schedules. Review patient history and medications to ensure accuracy in EMR and verify medical and or specialist clearance needed prior to surgery
  • Call patients to advise of timeframe for surgery. Coordinate surgery day, arrange for pre-op testing, arrange pre/post op visits as per individual physician protocol
  • Contact referring physician, provide surgery information and any pre-op orders needed for H&P and/or medical clearance
  • Interact with clinical staff as needed. Ensure all pre-op orders are created and faxed to appropriate facilities and/or sent to patient, including labs, EKG, chest x-ray, urine testing, and/or communicate with patient prior to surgery to go over consents, surgical estimates, insurance authorizations; responsible for collecting monies due prior to surgery
  • Complete all SSI disability forms and Letters of Medical Necessity for insurance information, as well as explain benefits to patient preparing for surgery. Respond professionally and pleasantly to telephone messages
  • Obtain adequate/accurate information and delegate information appropriately
  • Maintain communication with physicians, mid-level providers, patients, hospitals, insurance companies
  • All other duties assigned
